Job Description

Summary 

The Executive Business Partner is responsible for providing comprehensive support to the aligned Executive Team. This fast-paced, highly visible role requires the ability to complete a comprehensive variety of administrative responsibilities daily.  This position will act as a trusted advisor always maintaining the strictest of confidentiality.  This position must anticipate the assigned executive work needs, think critically, and function with a high level of professionalism and extreme confidentiality.

Key Responsibilities

  • Provide calendar management for assigned Executive(s) and prioritize inquiries and requests. 
  • Act as a liaison to those requesting the assigned Executive(s) phone and calendar time. Prioritize and ensure urgent matters are escalated and visible to ensure Executive level responses are timely.  
  • Schedule meetings, perform research, draft agendas, distribute presentation materials; and take meeting minutes on behalf of assigned Executive(s). 
  • Successfully create complex documents, reports, maintain contact lists, make travel arrangements, and complete expense and mileage reports.
  • Work closely with assigned Executive(s) to keep them well informed of upcoming commitments and responsibilities, following up appropriately. 
  • Anticipate Executive’s needs in advance of meetings, conferences, etc.
  • Work with the assigned Executive(s) to coordinate the Executive’s outreach activities. As requested, follow up on contacts made by the assigned Executive(s) to cultivate ongoing relationships.
  • Act as a trusted advisor always maintaining the strictest of confidentiality.
  • Complete other projects as assigned for the overall benefit of the organization.

Preferred Education and Experience

  • Strong interpersonal communication skills, organizational skills, and the ability to handle multiple projects simultaneously and meet deadlines consistently. 
  • 4-6 years of experience maintaining and handle matters of confidentiality with utmost tact and diplomacy
  • Ability to adapt and adjust planned work through analyzing work demands, competing priorities, and tight deadlines; to understand the most effective and efficient means to accomplish tasks within the parameters of the organizational structure, processes, systems, and policies.
  • 4-6 years of complex calendar management experience in different time zones.
  • 2-3 years of working in a remote environment.
  • 4-6 years of verifiable experience as an Executive Assistant to EVP and COO level or higher.

Work Environment

This job operates in a remote home office environment. This role routinely uses computer equipment such as mouse, monitors, keyboards, phones, printer, and headphones.  Requires strong internet service and connection.
