Seeking virtual administrative support for the Investment Management Marketing team with a variety of administrative and logistical tasks.
The candidate will interface regularly with individuals at all levels across Client. Candidate must have an excellent team orientation and the ability to manage a fast-paced work environment and ability to progress projects and ensure timely completion of deliverables and deadlines.
Key responsibilities include:
- Handling travel arrangements for marketing employees (booking flights, hotels and ground transportation; collecting all relevant details and preparing trip itineraries)
- Coordinating Marketing team meetings, events including scheduling, planning, organizing, and assisting with ad hoc items
- Liaising with supporting functions such as expense management, vendor management/approvals, and global resources
- Organizing, submitting and ensuring timely payment of expenses
- Assistance with scheduling photo shoots, webinars, etc. with other Client IM stakeholders
- Answering inquiries and managing schedules as needed
- Performing administrative responsibilities such as maintaining files, scanning, faxing, collating, etc., as needed
- Taking on special projects as assigned by the leadership team
The ideal candidate is:
- A detail-oriented self-starter with prior experience in the financial services industry or a multinational firm
- Experienced with Concur/expense management systems
- Someone who exhibits sound judgement with the ability to prioritize and make decisions
- Energetic and eager to tackle new projects and ideas
- A team-player capable of cultivating productive working relationships across the firm
- Comfortable interacting with high-level executives
Qualifications:
- Bachelor’s degree preferred
- Three to five years’ prior experience in supporting a team
- Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
- Exceptional writing, editing, and proofreading skills
- Familiarity with Client and the financial and marketing industry a plus
- Excellent organization and time-management skills
