Virtual Admin Support – Mumbai

Client Investment Management strives to provide outstanding long-term investment performance, service and a comprehensive suite of investment management solutions to a diverse client base, which includes governments, institutions, corporations and individuals worldwide.


Position Overview

We are looking for a career-minded professional with global perspective to join the Mumbai based Virtual Admin team. The role specifically supports the Investment Management’s Sales teams with a variety of administrative, organizational, and logistical tasks. The Virtual Admin will interface regularly with individuals at all levels across IM.

The successful candidate must be an excellent collaborator, able to multi-task, manage a fast-paced work environment and ensure timely completion of deliverables.


Key Responsibilities

  • Facilitate timely submission of expense vouchers with proper invoices & account heads in Concur system
  • Liaise with various teams like Sales, Finance, Vendors, Global Counterparts, Management, Technology, etc.
  • Manage travel arrangements for Sales team (i.e., collect all relevant details, prepare trip itinerary and book flights / hotels /ground transport)
  • Answer phone and email inquiries
  • Plan, organize & conduct events such as team meetings, offsites, townhalls & marketing events
  • Perform administrative responsibilities such as maintaining files, photocopying, faxing, collating, documentation, etc.
  • Support any special projects or ad-hoc items as assigned


Key Skills

  • Self-starter with prior experience in the financial services industry or a multinational firm
  • Experience with Concur or any expense management system
  • Ability to work independently, attention to detail, exercise sound judgement & multi-task
  • Comfortable interacting with high-level executives
  • Energetic, eager & enthusiastic
  • Team player capable of cultivating productive working relationships across the firm
  • Hold and adhere to high standards of confidentiality


Position Requirements

  • Bachelor’s degree preferred
  • Three to five years’ prior experience in supporting a team
  • Outstanding verbal & written communication skills
  • Excellent computer skills including the Microsoft Office Suite (Outlook, Excel, Word & PowerPoint)
  • Excellent organization and time-management skills
  • Familiarity with Financial services industry is a plus
