About the Role: The team is COO Shared Services that sits within the Global Divisional Management team that supports the execution of various initiatives for Global Operations. We are seeking a highly motivated and organized individual who enjoys working in a fast-paced environment, can own deliverables, work to tight deadlines and can support and / or manage multiple tasks at the same time.  The ideal candidate is looking to grow with an expanding team that is going through an exciting transformation.  The role requires timely execution of BAU (Business as Usual) related activities such as training management, communications, D&I (Diversity & Inclusion) initiatives and other global divisional management activities. This role also involves global stakeholder management, vendor management and developing various reports using the extensive data available through our systems and leveraging automation tools to reduce manual efforts where possible.

Working hours for the Team will be 12:00 pm to 9.00pm IST*

* Management discretion to change to support business demands.

 

 

Primary Responsibilities:

  • Owing End to End management of Training
  • Bespoke reporting to stakeholders and management.
  • Managing last minute changes from vendors and trainers.
  • Vendor management – e.g. holiday proofing of training dates, tracking invoices.
  • Maintenance and creation of internal social page i.e. Jive.
  • Downloading attendance sheets from the system within timelines to further share it with concerned groups.
  • Liaising with multiple stakeholders to manage timeline-based expectations.
  • Time to Time touchpoint calls with internal stakeholders to check on ongoing projects
  • Capturing attendance in the standard format maintained.
  • Updating tracker & maintaining relevant data in respective folders.
  • Sending Feedback surveys to participants after classroom sessions.
  • Creating enrollment links on Firms internal tool.
  • Drafting Training invites to share with participants.
  • Partnering with Global support teams on extended local coverage.
  • Prompt action on participant queries.
  • Data extraction from Dashboard/Firm Tools for further analysis.
  • Supporting Comms team and for other activities involved in the Global COO shares services space.

Education required:

 

  • Minimum Graduate in any discipline
  • 2 -4 yrs. of work experience in Business Administration, Executive Assistant or office management support, Operations or Project management.
